Privacy Policy
1. Controller
VixVoid, a Swedish sole proprietorship, is the controller for personal data processed when you use VixHosting.
Address: Håkantorpsgatan 120, 724 76 Västerås, Sweden
Privacy contact: [email protected]
2. Personal data we process
We process data you provide or that is created through use of the service: name, email address, username, contact details, orders, invoices, payment status, support requests, service and server configuration, IP address, and technical and security logs.
Content you store or transmit through a server can contain personal data. You are responsible for having a lawful basis where you are the controller for that content.
3. Purposes and legal bases
- We process data to create accounts, take payment, provide, administer and support the service, because it is necessary to perform our contract with you.
- We process data for accounting, tax and other legal obligations where required by law.
- We process data to prevent abuse, fraud, attacks and operational disruption based on our legitimate interest in secure and reliable operations.
- We do not use personal data for marketing without an appropriate legal basis under applicable law.
4. Recipients and processors
We use suppliers that process data for us where necessary to provide the service:
- Hetzner for infrastructure and server operations within the EU.
- SMTP2GO for transactional and support-related email delivery.
When you choose Stripe, Mollie or PayPal, the selected provider processes payment data under its own privacy policy and may act as an independent controller. We normally receive only payment status and references, not card details.
We otherwise disclose data only where required by law, to protect our rights, or with your consent. We do not sell personal data.
5. Retention
We retain account and service data while you have an account or active service. After a service is cancelled or terminated, server data and any backups are normally deleted within 30 days. We delete or anonymise account data when it is no longer needed, unless longer retention is necessary for accounting, legal claims, security or another legal obligation. Accounting records are kept for the period required by Swedish bookkeeping law.
6. Cookies
We use necessary cookies for login, security, session handling and preferences. They are necessary for the website and client area to work. We do not use our own analytics or marketing cookies. Payment providers may use their own cookies when you visit their payment pages; their processing is governed by their own terms and privacy policies.
7. Your rights
Subject to the limits in GDPR, you may request access, rectification, erasure, restriction, object to processing based on legitimate interests, and receive data processed on the basis of contract or consent in a structured format. Contact [email protected].
You may also lodge a complaint with the Swedish Authority for Privacy Protection (IMY), imy.se.
8. Security and changes
We use reasonable technical and organisational measures to protect personal data. No internet transmission or storage is completely risk-free, and you must keep your login credentials confidential.
We may update this policy when our processing or the law changes. The latest version is always available on this page.
